Description
SCOPE:
- Consultant, if required, will support development of a business case to determine the viability of the program/project, as well as the overall impact on the business
- Consultant will facilitate detailed planning sessions to define a clear scope, outcomes, and schedule for the program/project, taking into account strategic objectives, resource constraints; as well as any up-front risks and assumptions
- Consultant will assist in confirming the program/project team and assigned roles and responsibilities
- Consultant will assist with establishing a governance framework for the program/project, comprising of governance bodies, roles and responsibilities; reporting requirements and templates; daily/weekly/monthly cadences; and key rules and processes defined (e.g. risk & issue management, deliverable review and approval, communication and change management)
- Consultant will work with the project team to confirm and set-up the appropriate project management software and tools, with the required access granted
- Consultant will be responsible for executing the project plan using project management best practices, tools and frameworks, to ensure all critical milestones and objections are met as defined; and that all key actions, issues & risks, dependencies are efficiently identified, prioritized and tracked to closure
- Consultant will develop and present program/project status reports as defined in the governance framework
- Consultant will ensure all deliverables are completed and approved as planned, and with the quality expected
- Consultant will ensure that all documentation is gathered, stored, retrieved and updated in a well-coordinated and organized manner
- Consultant will manage and execute program/project communications to ensure continuous alignment and clarity on main topics and agendas
- Consultant will be responsible for proactively escalating issues and identifying showstoppers
- Consultant will provide final updates and facilitate project handover activities to ensure a seamless closure to the Engagement
- Consultant will provide an evaluation summary of the Engagement, highlighting where and why things went wrong and what can be improved for future projects and initiatives
DELIVERABLES/OUTPUTS:
- Business case (optional) (MS Excel, PowerPoint exported into PDF), provides a full view of why the program/project will benefit the business
- Kick-off presentation (MS PowerPoint exported into PDF), including alignment on background & scope, key objectives and business priorities, high-level work plan and ways-of-working, preliminary data requirements & templates overview, project governance and reporting framework, project team roles and responsibilities, risks and assumptions
- Program/Project Plan (tool/format to be confirmed), providing a detailed view of the key program/project phases, milestones, dates, dependencies and activities, and in a format that can be easily tracked and maintained
- Risk and Issue Management Plan (tool/format to be confirmed), that documents the process for identifying, analyzing and responding to risks that arise during the lifecycle of the project
- Communication Plan (tool/format to be confirmed), that documents the process for planning and executing important communications during the project lifecycle
- Program/Project Status Updates (MS PowerPoint exported into PDF, weekly/bi-weekly/monthly/quarterly/annual), to review and align on overall progress and report on key issues, risks, actions, and dependencies, as well as any variances and value-leakage
- Meeting minutes (tool/format to be confirmed), capturing and sharing key highlights, actions and decisions of meetings and working sessions, that are easily consumable and trackable
- Program/Project Closure Report (MS PowerPoint exported into PDF), to formalize the closure of the project and sign-off by the Project Sponsor
TIMING: 3-month, 6-month or 1-year contractual agreement. The specific timeframe for execution will be agreed between Client and Consultant after purchase.
ASSUMPTIONS:
- Client will appoint a dedicated team to support the Engagement
- Client team member(s) will be available to participate in live meetings/collaborative working sessions, as required
- Client will provide constructive feedback and guidance in reviews
- Client will provide relevant source materials & data, licensed, company and brand assets & guidelines, etc.
- Out-of-scope or additional requests will require a separate Engagement
